Purpose and Scope of the position

As a member of the Operations & Finance Team, the position holder will provide day to day administrative support to the team in the areas of operations, membership, and projects. It is a busy and challenging position with a varied workload which will include process and data management, relationship building as well as general administration tasks associated with a dynamic global head office environment.

Role Specific Responsibilities

Reporting to the Head of Operations and Finance, the position holder will:

- Support the Operations & Membership Coordinator with (but not limited to):

  • managing membership enquiries, applications, fee payments, renewals, suspensions, terminations
  • overseeing existing memberships services and providing input in the development of new services to improve the membership offer
  • managing CRM including system administration, data entry and reporting
  • coordinating meetings, taking minutes and tracking actions relating to regional activities
  • coordinating the translation of documents, materials and interpretation for events

- Support the Project and Office Administrator with (but not limited to):

  • organising meetings (internal and external), taking minutes and tracking actions
  • travel administration (both for ICM staff and externals) by planning itineraries; booking travel, accommodation, insurance; Visa arrangements as needed
  • Drafting letters, presentations and reports as required
  • formatting and filing of documents as per agreed routines and guidelines
  • managing application processes for participation in ICM programmes
  • manage access to various IT platforms for programme participants
  • Setting up surveys, following up and reporting on survey responses
  • supporting project management systems, including progress trackers

- Support the Office Manager in ensuring that ICM offices (including virtual) operate in a smooth, efficient, and sustainable manner.

- Provide other administrative and operational support as required and deemed appropriate by the Head of Operations and Finance.

PERSON SPECIFICATION

The requirements for this role are as follows. These, along with the values and competencies will be measured as part of the assessment and selection process.

Education & Qualifications

  • Relevant Business Administration qualification
  • Evidence of continuous professional development
  • Fluency in English is essential (speaking, reading and writing)
  • Ability to speak, read and write in French and Spanish is desirable

Experience and Knowledge

  • Proven experience in a similar role with equivalent systems and procedures.
  • Problem-solving skills, including ability to make decisions independently based on accurate and timely analysis/management of information.
  • Excellent time management skills and the ability to manage own workload with many competing priorities
  • Attention to detail
  • Proficiency in MS office (MS Excel, PowerPoint and Outlook in particular)
  • Excellent written and verbal communication skills
  • Excellent interpersonal and service level skills
  • Flexibility and adaptability to changing workloads
  • Good teamworking skills and the confidence to take the lead on various initiatives
  • Demonstratable commitment to equality and diversity issues in both service provision and employment practices.

Desirable Requirements

  • Experience within a busy office (including virtual)
  • Experience of building relationships
  • Experience with book-keeping/purchase ledger entries

MORE INFORMATION

Location

The selected candidate will be expected to work from the ICM Head Office in The Hague, Netherlands.

Work schedule

This position is a full-time position (40 hours per week including lunch break), but 36-32 hrs will also be considered for the right candidate. The general working hours are between 09:00 and 18:00 Monday to Friday.

As soon as possible.
